Position Title: Coordinator, Membership & Conferences

Reports to: Vice President, Membership & Investor Services

Position Summary: The Coordinator, Membership & Conferences, will be responsible for providing administrative and organizational support to the Chief Operations Officer (COO), Managing Director, Sponsorship & Conferences, and the Vice President, Membership and Investor Services.
Essential Responsibilities:
- Under the direction of the Vice President, Membership & Investor Services, this role will provide administrative support to the COO, Managing Director, Sponsorship & Conferences and the Vice President, Membership and Investor Services.
- Arrange domestic and international travel arrangements.
- Manage and submit business expenses and invoices in a timely manner, includes verifying charges, facilitating approval process, and reporting.
- Support the planning and execution of key meetings, including content preparation and coordination with meeting participants to compile materials, scheduling, and logistics.
- Prepare PowerPoint presentations and distribute correspondence.
- Coordinate across MFA offices, working closely with other coordinators to schedule meetings with NY-based and other Leadership team members and members and prospective members of MFA.
- Coordinate office maintenance requests and assist with IT troubleshooting, receive mail/deliveries, process shipments, and maintain office supply inventory.
- Ensure café is kept clean and stocked, coordinate staff meals.
- Assist with preparing background materials for member meetings including online research and the creation of concise biographies and firm descriptions.
- Support ad hoc membership events including small luncheons, dinners, forums. Create invitations, track RSVPs, and input attendance into CRM.
- Support MFA’s new member business development and investor relations by creating and tracking follow-ups.
- Support the programming team by coordinating speaker prep calls, managing speaker communications, ensuring all logistics and content requirements are met ahead of events.
- Assist with delivering hands-on support during live events, including registration, speaker coordination, attendee assistance, and troubleshooting. Ensure smooth execution and a high-quality experience for all participants.
- Distribute conference access codes as needed. Maintain accurate tracking systems to ensure proper allocation and usage.
- Serve as back-up on Higher Logic communications for members and conference teams.
- Serve as back-up to implement necessary changes and updates to support programming and engagement goals.
- Provide administrative support to other internal teams, as needed;
- Perform other duties, as assigned.
Qualifications and Requirements:
- Bachelor’s degree is preferred.
- Minimum of 2 years of experience in administrative support or office management, or related experience.
- High level of professionalism and attention to detail.
- Demonstrated ability to work collaboratively in a team-oriented culture that values the importance of being a good teammate, communicator, and partner.
- Excellent interpersonal, written, and verbal communication skills.
- Demonstrated ability to self-start, think ahead, problem solve, and engage proactively with high professionalism, reliability, and accountability.
- Strong time management skills and ability to manage multiple and changing priorities in a fast-paced environment.
- Proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.
- HTML coding abilities are a plus.
- Occasional domestic business travel is required.

Disclaimer: The annual base salary range for this position is $85,000 – $95,000. Additionally, employees are eligible for an annual discretionary bonus.
