Position Title: Senior Associate, Sponsorship & Conferences
Location: New York, N.Y (Hybrid)
Reports to: Managing Director, Head of Sponsorship & Conferences

Position Summary: The Senior Associate, Sponsorship & Conferences supports the planning and execution of MFA’s conference portfolio (10+ annually). This role contributes to end-to-end event operations, including registration management, member engagement, vendor coordination, and onsite execution, while ensuring data integrity and a high-quality attendee experience

Essential Responsibilities:

Conference Operations & Execution

  • Support end-to-end execution of conferences, including pre-event planning and onsite management
  • Monitor and manage conference registration platforms, serving as a primary point of contact for attendee inquiries
  • Assist with logistics for sponsor benefits at conferences—including print and digital collateral, marketing materials, and activations—and support the conference team in executing onsite and digital sponsorship deliverables

Data Management & Reporting

  • Maintain accurate conference and attendee data across systems
  • Pull and analyze reports (registration, committee/forum participation, attendee lists)
  • Manage CLE requirements related to conference programming: collateral collection, submissions and deployment

Member Engagement & Communications

  • Collaborate with Association leadership on membership initiatives and outreach tied to conferences
  • Partner with programming and content teams to develop and deploy event communications and invitations (Higher Logic)
  • Support programming team with member research call scheduling and set up
  • Manage speaker onboarding by collecting, organizing, and maintaining key speaker assets (bios, headshots, titles), ensuring all materials are accurately tracked and readily accessible to support marketing, communications, and cross-functional team needs

Marketing & Promotion

  • Coordinate with design and digital vendors to produce promotional materials and collateral

Vendor & Logistics Management

  • Support sourcing and management of event vendors, including coordination of timelines and deliverables
  • Assist in managing event logistics, production schedules, and execution

Budgeting & Financial Oversight

  • Support accounts receivable (AR) related to conference registration and overall budget tracking

Additional Support

  • Perform other duties as assigned

Qualifications and Requirements:

  • Bachelor’s degree preferred in hospitality, marketing, communications, business, or a related field

  • 4 years or more of experience in events, programming, marketing, investor relations, or communications; financial services experience preferred

  • Experience supporting event programming and working with event registration systems and CRM platforms

  • Strong understanding of the financial services ecosystem (investors, fund managers, consultants) is a plus

  • Excellent organizational, time management, and multitasking skills with strong attention to detail

  • Strong interpersonal, client service, and communication skills (written and verbal)

  • Proactive, solutions-oriented mindset and high level of professionalism and accountability

  • Collaborative team player that values being a good teammate, communicator, and partner to MFA members.

  • Ability to manage multiple priorities in a fast-paced environment

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Copilot) and familiarity with modern communication channels (e.g., social media, digital platforms)

  • Occasional domestic business travel is required.

Disclaimer: The annual base salary range for this position is $90,000-$100,000 per year. Additionally, employees are eligible for an annual discretionary bonus. Please note that the annual base salary range provided is a general guideline and compensation decisions are dependent on a variety of factors. These factors include, but not limited to, the scope and responsibilities of the position, years of work experience, work location, education/training, internal peer equity, and external market data
